Program Management:
The success of an event is dependent upon the strength and expertise
of the team as well as the time and energy put in during the
planning process. Cerulean
Events, Inc. assigns a trained program manager to each
account from the initial stages of the site selection to the
final billing reconciliation and post program analysis. This
ensures direct alignment of the program manager with the client
and enables us to clearly define and exceed all expectations
and business objectives from start to finish.
The following crucial elements are just some of the many aspects
of an event:
- Scope of Project - review the project, define roles
and responsibilities of each team member, establish a regular
meeting schedule and determine the most effective means of
communication.
- Timeline - a key element of the pre-program process
that ensures the most cost efficient and effective means
to execute with internal and external teams. The Program Manager
is responsible for the full implementation of the timeline.
- Budget - Cerulean
Events, Inc. will create a master line-item budget
that is approved by the client. Once the budget is established,
cost and expenditures are monitored throughout the program
process and continually updated as decisions are finalized,
and as each price is further negotiated through the planning
process.
- Food and Beverage - this very important element of
the program is managed both pre-program and on-site to ensure
the clients expectations are met within the appropriate parameters,
and is a critical cost-savings opportunity with trained management.
The development of menus, decor and entertainment are all overseen
by the Program Manager and presented for approval by the client.
- On-Site Staffing - We have a preferred relationship
with a large, professionally trained staff of individuals who
have made on-site staffing their full-time profession. We strongly
believe Travel Staff to be a critical element to the success
of any program, from inspiring extraordinary experiences for
your participants as well as executing on-site logistics and
continual budget management.
- Ground Transportation - from the moment the guests
arrive at the airport until the moment they depart, Cerulean
Events, Inc. staff is available to assist. Transportation management
also includes group transfers for any off property events and
activities.
- Function Space - all functions space, meeting rooms,
offices, and breakout rooms are all managed with great attention
to detail, including Audio Visual and participant counts.
- Entertainment Selection - Cerulean
Events, Inc. has access to over 20,000 speakers and entertainers
whose messages and performances have inspired many. Cerulean
Events, Inc. prides itself on delivering the unexpected
and the unimagined to the delight of their clients.
- Budget Reconciliation - The program budget goes through
many stages of sculpting throughout the planning process, continually
developing based on client decisions and direction, financial
parameters, on-going negotiations and final contracting with
vendors. The on-site management includes daily Accounting meetings
to monitor the status and cost-savings, as well as any additional
decisions the client may make on site (VIP costs, additions,
etc). Following the program, Cerulean
Events, Inc. reconciles each vendor bill, and presents a final-billing
to the client. In 12 years, we are proud to say we have never
been over budget.
- Post Program Analysis - Cerulean
Events, Inc. will evaluate the event with the Client Event
Team to review all aspects of the program to result in better
practices for future events to ensure complete client satisfaction
has been achieved.
